In this note
The account is ready. The welcome message has gone out. The customer still cannot use the stock report to decide what needs replenishing. Making account setup faster would improve an internal step while leaving that customer stuck.
In this hypothetical example, warehouse manager Sam needs a stock list grouped by the locations his team actually uses. The software shows a report, but its location groups don't match his warehouse records. Before proposing an onboarding agent, I'd ask Sam to show the review he cannot finish.
Ask what the customer was trying to finish
Sam needs to complete a replenishment review using a stock list that agrees with the approved warehouse records. A warehouse analyst must be able to check the locations and quantities. The job ends at that checked review; placing an order or improving stock availability would happen later and need separate evidence.
Ask Sam to walk through the last blocked review. Which report did he open? What looked wrong? Which spreadsheet did he return to? Have the customer-success lead follow the case too. The lead may see completed setup tasks while Sam sees work he still cannot do.
Use records the customer permits you to inspect. If the warehouse report is unavailable, ask for an approved redacted example or record the gap. A support ticket saying report broken gives you a question, not proof of its cause.
Compare the problems before comparing tools
Customer-visible work is a useful place to look, not a rule that every internal project must wait. An internal safety check or control may matter more. Compare the actual consequence, cost, and ability to verify the change. For Sam, the proposals below address different parts of the same blocked task.
| Proposal | What would have to change for Sam |
|---|---|
| Send the account invitation sooner | Useful if waiting for access blocks the review. In this case the account is already ready; the report still needs investigation. |
| Prepare the correct warehouse location groups | Could let Sam use the report. First establish the approved grouping, source records, and reason the current report differs. |
| Generate an explanation of the stock report | Could help explain checked figures. It cannot make incorrect groups or missing records reliable. |
I'd investigate the report mismatch first for this account. Perhaps the team needs a checked location mapping, a clearer setup question, or a repair to the data connection. Free-text location names might eventually need interpretation, but we haven't shown that a model is the right fix.
One case cannot tell us how common this problem is. Compare other permitted cases before choosing a wider project, including customers who finished the review and customers blocked for another reason. Keep a delayed invitation separate from a ready account with unusable data.
Keep setup and useful work on different lines
Record when the customer requested access, when the account became technically ready, and when Sam completed the first review the analyst could accept. Keep unsuccessful attempts and still-blocked accounts in the report. Starting the clock only after a correct report appears would hide the wait we're trying to fix.
Check the review itself, not just whether Sam opened the report. Does it use the permitted account, current warehouse records, agreed location groups, and the task's required quantities? Ask who checks those facts and who helps when the report is disputed. A login or completed setup checklist cannot answer those questions.
Before claiming a benefit, compare similar customers and tasks over an agreed period. Include time spent by Sam, the analyst, support, and the implementation team. Faster internal setup, earlier accepted use, and lower support cost are separate results; none establishes the others.
Take one blocked task to its owner
For Sam's case, ask the customer-success lead to arrange a permitted walkthrough with him and the person responsible for the warehouse records. Bring the mismatched report and the record it should agree with. Leave with the first disputed field or definition, who will resolve it, and the next check. Keep the existing review process available while investigating.
The investigation does not authorize stock changes or establish a financial benefit. Start by finding where Sam's report stops agreeing with the warehouse records.
